Learn Microsoft Word: Complete Beginner's Guide

Microsoft Word is the most popular word processor. Most people only use basic features, but Word can do a lot more. I use Word almost daily, and I'm going to teach you the features that actually matter.

This guide covers everything from basics to advanced features. By the end, you'll be able to create professional documents efficiently.

Getting Started

Create a new document:

  • Open Word
  • Click "Blank document" or press Ctrl+N
  • Start typing

Save your document:

  • Press Ctrl+S (or File → Save)
  • Choose a location and filename
  • Word auto-saves, but save manually too

Basic Formatting

Bold, Italic, Underline:

  • Select text
  • Click B (bold), I (italic), or U (underline) in the toolbar
  • Or use shortcuts: Ctrl+B, Ctrl+I, Ctrl+U

Font and size:

  • Select text
  • Use the font dropdown to change font
  • Use the size dropdown to change size

Alignment:

  • Select text or click in a paragraph
  • Use alignment buttons (left, center, right, justify)

Working with Paragraphs

Line spacing:

  • Select paragraph(s)
  • Home tab → Line and Paragraph Spacing
  • Choose spacing (1.0, 1.5, 2.0, etc.)

Indentation:

  • Use the Increase/Decrease Indent buttons
  • Or use the ruler at the top

Bullets and numbering:

  • Select text
  • Click Bullets or Numbering button
  • Word automatically continues the list

Headers and Footers

Add headers and footers to your document:

  1. Go to Insert → Header (or Footer)
  2. Choose a style or "Blank"
  3. Type your header/footer content
  4. Double-click outside to exit

Page numbers:

  • Insert → Page Number
  • Choose position (top, bottom, etc.)
  • Choose style

Tables

Insert a table:

  1. Go to Insert → Table
  2. Select number of rows and columns
  3. Or draw a table if you prefer

Format tables:

  • Click in the table
  • Table Design tab appears
  • Choose a style, adjust borders, etc.

Add rows/columns:

  • Right-click in a cell
  • Insert → Rows Above/Below or Columns Left/Right

Images and Shapes

Insert images:

  1. Go to Insert → Pictures
  2. Choose "This Device" or "Online Pictures"
  3. Select your image
  4. Resize by dragging corners

Wrap text around images:

  • Click the image
  • Picture Format tab → Wrap Text
  • Choose how text should wrap

Insert shapes:

  • Insert → Shapes
  • Choose a shape
  • Click and drag to draw

Styles

Styles make formatting consistent and easy:

  • Select text
  • Home tab → Styles
  • Choose a style (Heading 1, Heading 2, Normal, etc.)

Why use styles:

  • Consistent formatting
  • Easy to change - modify the style, all text using it updates
  • Creates table of contents automatically

Modify styles:

  • Right-click a style → Modify
  • Change font, size, color, etc.
  • All text using that style updates automatically

Find and Replace

Find text:

  • Press Ctrl+F
  • Type what you're looking for
  • Word highlights matches

Replace text:

  • Press Ctrl+H
  • Enter what to find and what to replace it with
  • Click "Replace" or "Replace All"

Advanced options: Click "More" for case-sensitive search, whole words only, etc.

Page Setup

Margins:

  • Layout → Margins
  • Choose preset or "Custom Margins"

Page orientation:

  • Layout → Orientation
  • Portrait (vertical) or Landscape (horizontal)

Page size:

  • Layout → Size
  • Choose paper size (Letter, A4, etc.)

Advanced Features

Table of Contents:

  1. Use Heading styles for your headings
  2. Go to References → Table of Contents
  3. Choose a style
  4. Word automatically creates it from your headings

Comments:

  • Select text
  • Review → New Comment
  • Type your comment
  • Great for collaboration

Track Changes:

  • Review → Track Changes
  • All edits are marked
  • Accept or reject changes
  • Perfect for reviewing documents
